Map the workflows that matter

Document how sales, purchases, inventory, expenses, staff, finance, customers and vendors currently move through the business. The goal is not to document every click — it is to identify the decisions, handoffs and records that matter.

Define roles and visibility

ERP design becomes difficult when access rules are added late. Decide which roles can create, edit, approve or view each type of information and whether branch, department or user-level restrictions are required.

List required reports before development

Reporting requirements influence the data model. Define the decisions management needs to make and the filters, time ranges and breakdowns required to support those decisions.

Separate must-have integrations from future integrations

Payment gateways, e-commerce platforms, courier systems, accounting tools or messaging services may be important, but not all integrations need to be part of phase one. A staged roadmap keeps the first release focused.
